Comparing quotations

Compare quotations with AI — in the template you already use

Many organisations already compare quotations in their own comparison document, Excel file or template. That document is rarely just a format: there is an established way of working behind it — which information matters, which parts are weighed against each other, and how colleagues arrive at an assessment or a decision.

With Umbiko you don't have to replace that way of working in order to use AI. You upload your existing template and the quotations you want to compare. Umbiko then analyses the documents, pulls the relevant information out of the different quotations and fills it into your own format.

The result is not a new AI document, but a comparison your organisation is already used to working with.

Starting point

Adding AI to an existing procurement workflow

AI is increasingly used in procurement — at first mostly to generate text, summarise documents or answer questions about information in a tender. The next step is to make AI part of existing workflows.

That doesn't have to mean existing processes are rebuilt from scratch. Procurement in particular tends to have clear ways of working, templates and assessment methods that function well in practice. So the question isn't:

How do we adapt our process to AI?

but rather:

Where can AI make the existing process smarter and more efficient?

Comparing quotations is a good example of exactly that.

The problem

From several quotations to one clear comparison

When several suppliers submit a quotation, information from different documents has to be collected and put side by side.

  • prices and rates
  • terms and conditions
  • services provided
  • approach and schedule
  • specifications
  • warranties
  • exclusions
  • additional remarks

That information isn't always in the same place, or described in the same way. Which makes comparing quotations a fair amount of manual work: opening documents, searching, copying information, checking it, and then transferring it into the internal comparison document. Umbiko is built to automate exactly that part of the process.

How it works

Comparing quotations with Umbiko, step by step

Upload your own template

You start with the document your organisation already uses — a comparison document, a comparison table or another existing template. There is no need to switch to a fixed Umbiko format: your way of working stays the starting point.

Upload the quotations

Then you add the quotations you want to compare. Umbiko analyses the documents and looks for the information it needs to fill your template.

Umbiko analyses the documents

AI pulls the relevant information out of the quotations and brings it together. Instead of reading every document yourself and transferring data by hand, Umbiko collects that information for you.

It lands in your own format

What Umbiko finds is filled into your existing comparison template. You get no separate AI report, but a document that matches the way your organisation already works.

Why it matters

Why work from your existing template?

New technology often raises the question whether existing processes need to be redesigned. That is far from always necessary. Procurement templates, assessment documents and internal formats have usually been built up over years: they match what the organisation needs to know and colleagues and stakeholders recognise them. Using AI inside that structure keeps that recognition intact.

No new process to learn

You keep working from the way of working you already have.

No mandatory standard format

Your own comparison template stays the starting point.

Less searching and copying by hand

AI helps bring information from several documents together.

A result colleagues recognise

The output matches the document your colleagues already work with.

Our view

AI as part of the workflow

That, as far as we're concerned, is where a large part of the value of AI in procurement sits. Not in replacing existing processes simply because AI is available, but in adding AI where a lot of manual work still happens today: analysing documents, collecting information, or putting data from different quotations side by side.

The existing workflow stays as it is. AI takes over part of the work within it.
